Personal communication via email and telephone, or internet voice over IP with the other party is key. Work out the details of the exchange with the other party.  Some members create an agreement and both sign this.  Some members have a friend stop by to collect the mail (if needed) or stop by to ask the guests if everything is ok and if they need anything.
